Settlement differences · returns · warehouse transfers

Accounting, Tally & Shopify Automation for Mumbai

For Mumbai commerce brands and distribution teams: a sale, a courier update and a bank deposit describe different parts of the same order. We help define those handoffs so accounts and operations can resolve exceptions without rebuilding the trail each month.

Start with one workflow

Pick the handoff that needs attention.

Begin with one sales channel and one settlement period. Choose a sample containing a sale, a refund and an unsettled amount so the pilot tests reconciliation rather than just copying successful orders.

01 · Accounting automation

Settlement reconciliation with an exception trail

For finance teams matching ecommerce sales, refunds, fees and bank receipts across separate exports.

Pilot one channel and settlement format. Define the matching keys, reporting cut-off and fee categories with your accountant, then prepare a reconciliation view with unresolved items. Booking rules remain subject to finance approval.

What we scope together

  • An order-to-settlement matching register with timing differences separated from unexplained differences.
  • An exception report linked to source references and reviewer decisions.

What affects cost: Channel count, statement consistency, fee rules, settlement timing and historical clean-up.

02 · Tally & TDL customisation

Stock-transfer and return visibility in Tally

For a distributor whose warehouse dispatch, receiving acknowledgement and accounts records are reviewed by different people.

Review existing godown and stock reports before scoping an extra field, report or print format. A focused TDL pilot can expose the agreed transfer reference and receipt status, subject to the data your installed setup actually records.

What we scope together

  • A transfer-reference and status specification reviewed with warehouse and finance owners.
  • A test report covering full receipt, partial receipt and goods awaiting acknowledgement.

What affects cost: Godown structure, voucher references, add-on compatibility and whether receipt acknowledgements exist today.

03 · Shopify–Tally integration

Refund-aware Shopify accounting handoffs

For brands whose accounts team can import sales but still rebuilds partial refunds and settlement differences manually.

Start with one store and Tally company. Map order lines, discounts, shipping and refund references; then decide with finance how approved events become accounting records. A refund and a physical restock are separate decisions.

What we scope together

  • An order and refund mapping with source IDs retained for reconciliation.
  • A test set for partial refunds, cancelled orders, replayed events and unmapped products.

What affects cost: Refund complexity, catalogue quality, connector fees and the choice of sales-only or separately scoped inventory work.

04 · Shopify operations automation

Returns routed to the right operations owner

For store teams following return requests across support, courier tracking and warehouse inspection.

Pilot a return exception flow using the events your return and shipping apps expose. Separate requested, in transit, received and inspected states, then assign the next task. Refund permissions and resale approval stay explicit.

What we scope together

  • A return-state map and a queue for stalled or inconsistent updates.
  • Owner alerts, replay handling and a manual recovery checklist.

What affects cost: Returns and courier app APIs, warehouse count, event quality and exception volume.

Before the first review

Bring a small, useful sample.

  • A redacted order export and its gateway or marketplace settlement statement for the same period.
  • One partial refund or return, with fee adjustments and the bank reference if available.
  • Your warehouse list, stock-transfer process and who approves accounting adjustments.

Remove customer, staff and financial identifiers from initial samples. We agree authorised access and a test environment separately.

Scope, cost and timing

A diagnostic, then a focused pilot.

  1. 2–5 business days: review samples, existing features and dependencies; agree a workflow map and acceptance criteria.
  2. Usually 1–3 weeks for a focused pilot: implement the agreed path, test failure cases and collect owner feedback.
  3. Release after sign-off: agree the cutover, monitoring, rollback and handover. Ongoing maintenance is a separate scope.

These are planning estimates after access and scope are agreed, not fixed delivery commitments. We provide a quote after reviewing the workflow. Licences, app or connector fees, historical clean-up and additional companies are identified separately.

Method you can inspect

Review the work before a bigger commitment.

Raghav leads the workflow review; The Night Marketer supports delivery. You can inspect our synthetic reconciliation and job-work examples, then use your own approved samples to decide whether a pilot meets the agreed checks.

The sample pack is an offline demonstration, not a live Tally connector. Compatibility and accounting outcomes must be tested in the agreed environment.

Before you enquire

Can Mumbai finance and warehouse teams join the same pilot remotely?

Yes. We agree a shared sample period, separate finance and operations owners, and a regular review slot. Access to a Tally test company or warehouse data is arranged with your authorised administrator; office visits are not assumed.

Do we need all four services?

No. Choose one handoff with a clear owner and a measurable acceptance check. We can extend it after the pilot is accepted; a Shopify workflow does not automatically require custom TDL or an accounting integration.

Who approves accounting entries and GST decisions?

Your finance team or tax professional approves classifications, tax treatment and posting rules. The engagement covers workflow and software implementation; it does not replace their accounting or statutory review.
