Factory receipts · job-work balances · dispatch exceptions

Tally, Accounting & Shopify Automation in Delhi NCR

For manufacturers, job-work businesses and commerce teams in Delhi NCR: start with the handoff that gets checked in a spreadsheet, chased on WhatsApp and entered again in Tally. We map who owns it, what needs approval and how the result will be checked.

Start with one workflow

Pick the handoff that needs attention.

Choose one plant or store and one accounts owner. A purchase receipt or job-work batch is a useful first pilot because the source document, physical movement and accounting decision can be checked together.

01 · Accounting automation

Purchase receipts ready for accounts review

For a factory or trading team where the storekeeper records quantities and accounts later rechecks the same supplier invoice.

Start with one purchase-order, receipt and bill workflow. Match supplier references, flag duplicate invoices and separate accepted, held and rejected quantities before preparing the accounting handoff. Your finance team owns tax treatment and posting approval.

What we scope together

  • A receipt-to-bill matching sheet with named exception owners.
  • A review queue for missing documents, duplicate references and quantity differences.

What affects cost: Supplier formats, invoice volume, companies or GSTINs and the approval steps already in place.

02 · Tally & TDL customisation

Job-work outstanding and dispatch controls

For manufacturers sending material to job workers and reconciling returns, losses and balances by hand.

Review native Tally reports first. If a gap remains, scope one TDL report or document change around job worker, material, unit and challan reference. The pilot uses an authorised test company and the exact installed release and add-ons.

What we scope together

  • A field map linking issue, return, approved loss and outstanding quantity.
  • A report specification, acceptance cases and a rollback checklist for the agreed change.

What affects cost: Historical reference quality, unit conversions, existing TDL conflicts and report or print-format depth.

03 · Shopify–Tally integration

Online orders alongside wholesale accounting

For a business that sells through Shopify while its accounts team also handles wholesale or dealer transactions in Tally.

Map one Shopify store into one Tally company, keeping online source references distinct from manual wholesale entries. Agree SKU, party, shipping and refund mappings before selecting a connector or custom route.

What we scope together

  • An approved mapping sheet and a register of source orders against proposed vouchers.
  • A reconciliation checklist for a normal sale, partial refund and repeated event.

What affects cost: Company count, catalogue mappings, refund types and whether stock synchronisation is needed as a separate workstream.

04 · Shopify operations automation

Order holds before the packing desk

For an operations team manually checking payment, address or stock exceptions before releasing Shopify orders.

Pilot one dispatch decision flow using supported Shopify and app events. Define which checks can be automated, which need a person and who releases a held order. Courier and COD checks depend on the installed apps and their available data.

What we scope together

  • A hold/release decision map and an exception queue with an owner.
  • Duplicate-event checks, escalation rules and a documented manual release path.

What affects cost: App access, warehouse handoff, event availability, order volume and monitoring requirements.

Before the first review

Bring a small, useful sample.

  • One redacted purchase order, receipt and supplier bill, including a quantity mismatch.
  • A job-work issue and return with units, challan reference and approved loss recorded separately.
  • Your TallyPrime release, existing add-ons and the person who approves changes to stock and ledgers.

Remove customer, staff and financial identifiers from initial samples. We agree authorised access and a test environment separately.

Scope, cost and timing

A diagnostic, then a focused pilot.

  1. 2–5 business days: review samples, existing features and dependencies; agree a workflow map and acceptance criteria.
  2. Usually 1–3 weeks for a focused pilot: implement the agreed path, test failure cases and collect owner feedback.
  3. Release after sign-off: agree the cutover, monitoring, rollback and handover. Ongoing maintenance is a separate scope.

These are planning estimates after access and scope are agreed, not fixed delivery commitments. We provide a quote after reviewing the workflow. Licences, app or connector fees, historical clean-up and additional companies are identified separately.

Method you can inspect

Review the work before a bigger commitment.

Raghav leads the workflow review; The Night Marketer supports delivery. You can inspect our synthetic reconciliation and job-work examples, then use your own approved samples to decide whether a pilot meets the agreed checks.

The sample pack is an offline demonstration, not a live Tally connector. Compatibility and accounting outcomes must be tested in the agreed environment.

Before you enquire

Can we begin with one factory or job worker?

Yes. A single material flow with usable issue and return references is a practical pilot. We agree its units, exception owner and acceptance checks before adding more plants, job workers or companies.

Do we need all four services?

No. Choose one handoff with a clear owner and a measurable acceptance check. We can extend it after the pilot is accepted; a Shopify workflow does not automatically require custom TDL or an accounting integration.

Who approves accounting entries and GST decisions?

Your finance team or tax professional approves classifications, tax treatment and posting rules. The engagement covers workflow and software implementation; it does not replace their accounting or statutory review.
